Club Organiser Terms

These extra terms apply if you operate a club on Badminton Village — in addition to our main Terms of Service. By claiming or listing a club, you agree to these.

1. Who can operate a club

You must:

  • Be authorised by the club to represent it (committee chair, treasurer, owner, etc.).
  • Be at least 18 years old and able to enter contracts.
  • Operate in good faith and supply accurate information.

2. Listing accuracy

  • Club name, address, contact, schedule, fees, and skill bands must be accurate at time of posting. Update them if they change.
  • Photos must be your own or licensed. Don't use stock-photo watermarks or someone else's premises.
  • Don't misrepresent skill level, facilities, or coaching qualifications.

3. Sessions and bookings

  • You set session fees, capacity, skill range, payment timing (prepay-required vs pay-at-venue), and cancellation policy.
  • You must honour confirmed bookings. If you cancel a session, the platform automatically refunds all players in full — including platform fees.
  • You may set member-only sessions, member pricing, visitor pricing, and per-session cutoffs. These are shown to players at checkout.
  • The platform fee ($1.50 + GST per booking) is paid by the visitor, not by you. You receive your full session fee.

4. Payments and payouts

  • Online payments are processed by Stripe through a Connected Account that you onboard. We never see your card data or bank details.
  • Stripe applies its standard processing fees (2.7% + 30¢ on NZ domestic cards; 3.7% + 30¢ international). The platform visitor surcharge recovers this so your net receive is the stated session fee.
  • Payouts land in your linked NZ bank account on your Stripe payout schedule (default daily, settles in 2 business days).
  • For visitor payments held in escrow (Beta), funds are released to you when the session resolves successfully. Refunds for cancelled sessions or non-promoted waitlist players are issued from the platform balance.

5. Membership and member data

  • You can configure default membership period, fee, approval mode (self-serve vs your-approval), and renewal reminders at Settings → Membership rules.
  • Member contact information you receive (email, phone) is provided to host them and run your club. You must not use it for unrelated marketing without separate consent.
  • You must handle member data consistent with the NZ Privacy Act 2020 — proportionate, secure, deleted on request.

6. The 18-month free period

  • New clubs receive an 18-month free trial of a paid subscription tier.
  • When that period ends, your plan automatically reverts to FREE. Your existing members keep their access; your member cap is locked at the count you had at expiry.
  • To add members beyond that cap, upgrade to a paid plan at /pricing.

7. Reviews

Players can review your club. You can't edit or delete reviews, but you can respond publicly. We may remove reviews that breach our Acceptable Use Policy (e.g. contain threats, harassment, or false defamatory claims).

9. Suspension and removal

We may suspend or close a club listing if:

  • Multiple players report material breaches (no-shows, fees not honoured, harassment).
  • You don't respond to support requests for 30+ days.
  • Chargebacks or refund requests exceed industry norms.
  • You misuse member data or breach the law.

We notify you before suspension where reasonable, and provide an avenue to respond.

10. Indemnity

You agree to defend and indemnify Badminton Village for claims arising from the operation of your club — including injuries at your sessions, disputes with members, or breaches of consumer law in your own service supply. This doesn't apply where the claim results from our own negligence or breach.

11. Tax

You're responsible for your own tax obligations including GST if registered. The session fee you set is GST-inclusive from the player's perspective — we don't add or withhold tax. We provide invoices on our platform fees so you can claim back GST where eligible.
